The principal limitation is product complexity: Copilot Chat without an add-on, paid Microsoft 365 Copilot, and consumer Microsoft 365 subscriptions have different data scopes and limits, while client and mailbox support continues to roll out unevenly.

Copilot respects the user's existing Microsoft 365 permissions. Prompts and responses are logged and stored in the Microsoft 365 tenant for auditing/eDiscovery, and web-grounded queries have separate Bing data-handling considerations. Admins can manage Copilot access, pinning, and connected experiences.

What to know before choosing Microsoft 365 Copilot in Outlook
- Naming and licensing are unusually confusing. Copilot Chat (Basic), M365 Copilot (Basic), M365 Copilot (Premium), the paid Microsoft 365 Copilot add-on, Microsoft 365 Personal/Family/Premium, and Copilot Pro are not interchangeable.
- Microsoft documentation reflects overlapping rollouts and is not fully synchronized across client and mailbox support. Re-check every availability claim immediately before publication.
- Core organizational grounding depends on Exchange Online and existing permissions. Microsoft explicitly recommends SharePoint governance and Purview labeling because Copilot can surface content users already have permission to view, including content that may have been overshared.
- Shared, delegated, group, archive, encrypted, and non-Exchange mailboxes have important limitations. Do not market this as a universal Outlook or IMAP assistant.
- Commercial prompts and responses are logged for audit/eDiscovery. Not used to train foundation models does not mean not stored.
